Employee Background Checks Policy
Your Guide
Purpose:
The purpose of this policy is to outline the procedures and guidelines for conducting background checks on potential and/or existing employees of the Corsearch group of companies.
These checks are conducted to ensure the safety, security, and integrity of our workplace, clients, and stakeholders, while also maintaining compliance with relevant laws and regulations.
Scope:
This policy applies to prospective and/or existing employees of Corsearch and its subsidiaries across all locations - including full-time, part-time, temporary, direct & third-party contractor positions.
Policy:
- Conditional Offer
Upon making a conditional offer to a candidate, Corsearch will confirm to relevant candidate that a background check will be completed and obtain the necessary information to do so. Corsearch reserves the right, in its sole discretion, to determine which roles are within the scope of a background check.
- Existing Employment
A background check may be initiated for an existing employee if Corsearch, in its sole discretion, deems it necessary. Corsearch will inform the existing employee of the requirement to complete a background check prior to it being carried out.
- Authorisation and Consent
Prior to conducting any background checks, candidates will be asked to provide consent authorising Corsearch to conduct the check via our service provider, Sterling.
- Types of Checks
Background checks may include, but are not limited to, right to work checks, criminal records checks, finance checks and reference checks. The specific types of checks conducted will be at Corsearch’s sole discretion depending on the nature of the position and may extend to specific customer account requirements, regardless of role.
- Results and Decision Making
The decision to hire or not hire based on an unsatisfactory background check result will be made on a case-by-case basis. The individual subject to the background check will be provided with the result of the check and given an opportunity to review and, if relevant, dispute the findings. Corsearch reserves the right to take the relevant actions it deems necessary if the results of the background check raise concerns about the candidate's suitability for the role.
- Confidentiality and Data Security
Information obtained through background checks will be:
- treated as confidential and handled in accordance with applicable laws;
- restricted to authorised members of the People Team involved in the hiring process only; and
- retained in accordance with country-specific legal requirements.
- Non-Discrimination
Background checks will be conducted in a manner consistent with Corsearch’s commitment to equal employment opportunity and non-discrimination.
- Use of Third-Party Providers
Background checks may be conducted by a third-party vendor specialising in background screening services and such third party will ensure they adhere to all relevant laws and regulations governing the conduct of background checks.
- Review and Compliance
This policy will be reviewed annually to ensure compliance with applicable laws and industry standards.
- Implementation
This policy will be implemented and enforced by the People Team, in consultation with Corsearch’s Legal & Information Security teams.
- Approval
This policy has been reviewed and approved by Chief People Officer.
